ChemCoolX is an industrial maintenance management platform built to digitise coolant, oil, and machine maintenance operations. The solution replaces manual and fragmented tracking systems with real-time logging, analytics, and alerts across mobile and web platforms, improving operational efficiency and reducing downtime.
Problem
The lack of real-time visibility into machine health, oil usage, and maintenance schedules led to delayed servicing, higher operational costs, and increased downtime. Field operators and management teams struggled with inconsistent data and limited decision-making insights.
Goal
Design a unified mobile and web-based ERP platform that enables real-time maintenance tracking, accurate oil management, and actionable analytics for both field operators and management teams.
Process
The solution was structured as a dual-platform system. The mobile application supports real-time data capture for maintenance checks, oil usage, and alerts directly from the field. The web application centralises user management, machine tracking, subscription handling, and analytics, enabling comprehensive oversight and informed decision-making.
Research & Insights
Discovery focused on understanding how maintenance teams tracked coolant usage, machine health, and service schedules across manufacturing environments. Stakeholder discussions revealed critical gaps in real-time data access, inconsistent record-keeping, and the need for field-friendly workflows that could operate reliably on the shop floor.
Wireframes & Iterations
Wireframing explored task-focused mobile interfaces that allowed operators to log maintenance activities quickly with minimal friction. Iterations prioritised form efficiency, clear status indicators, and error-free data entry in high-movement environments.
On the web platform, layouts evolved to support complex data visualisation without overwhelming users. Dashboards were refined through multiple iterations to surface alerts, trends, and reports while maintaining clarity and scannability for management users.
Designing ChemCoolX required balancing the needs of field operators and management within a single ecosystem. Field users needed speed, clarity, and offline-friendly interactions, while decision-makers required detailed analytics and reporting.
Another challenge was presenting complex maintenance and oil-usage data in a way that remained actionable rather than overwhelming. Ensuring consistency across mobile and web experiences while supporting scalable industrial workflows was a key design constraint.
Outcome Summary
ChemCoolX successfully transformed maintenance operations by digitising data capture, improving real-time visibility, and reducing reliance on manual processes. The platform enabled faster maintenance decisions, improved data accuracy, and scalable oversight across manufacturing operations.
